At commissioning, we hand over a documentation pack covering every aspect of the install. This pack is your reference for the system's 25+ year life β€” for warranty claims, supplier audits, tax returns, insurance declarations, succession planning, and any future system modifications. Here's what's included.

MCS Commercial Certificate

The Microgeneration Certification Scheme commercial certificate is the regulatory keystone. It confirms: the installer was MCS commercial-certified at installation date; the design conforms to MCS standards; commissioning tests were completed satisfactorily; the system specification (kW, panel model and quantity, inverter model and quantity); the installation address. Required for: SEG application; supplier audits referencing MCS-certified renewables; insurance declarations; tax claims under 100% AIA. Issued within 14 working days of commissioning by MCS via the installer.

Insurance-Backed Warranty Certificate (IWA)

IWA's insurance-backed workmanship warranty certificate. Covers your installation against installer insolvency for 10 years from commissioning. Lists: policy number; coverage amount (up to Β£25,000 per claim, Β£100,000 lifetime per site for most certificates); claim process; emergency contact. Keep the policy number accessible β€” claims after installer insolvency are made directly to IWA using this reference.

Manufacturer Warranty Documentation

For each major component: panel manufacturer warranty registration (linking the panel serial numbers to the farm address); inverter manufacturer warranty registration; racking manufacturer warranty (where applicable); battery manufacturer warranty (where applicable). We register all warranties at commissioning. The handover pack includes the warranty terms and conditions plus the registration confirmation showing the panels/inverters are registered to your farm.

Electrical Drawings

Complete electrical documentation: single-line diagram (high-level system topology β€” panels, strings, combiners, inverters, isolation, AC distribution, grid connection); detailed schematic drawings per inverter; cable schedule (DC and AC cable runs with sizes, lengths, voltage drops); protection schedule (RCDs, isolators, fault current ratings); earth bonding diagram; final commissioning test results.

Structural Documentation

For each building with PV installed: structural design report (building frame analysis, purlin loading, racking attachment details); structural reinforcement design (where applicable); roof penetration sealing details; weight loading calculations versus building structural capacity.

G99 Grid Connection Documentation

The G99 application package and DNO acceptance: G99 application form as submitted; DNO acceptance letter; technical study report (where required); connection works completion certificate; grid commissioning test results.

Asbestos Documentation (where applicable)

For combined re-roof + PV installs: HSE-licensed asbestos contractor licence verification; sample test results from UKAS-accredited lab; Asbestos Removal Notification submitted to HSE; air monitoring reports during removal; waste consignment notes; clearance certificate post-removal.

Monitoring Portal Access

Login credentials for the monitoring portal (SolarEdge, SMA, Huawei, Fronius, etc.). Quick-reference guide: how to view daily/weekly/monthly generation; how to set up email alarms; how to export annual data for tax/audit purposes; who to contact for portal support. We retain admin access for the system life to provide ongoing support.

Operations Manual

A system-specific operations manual covering: normal operation overview; what alarms mean and how to respond; recommended annual maintenance schedule; cleaning recommendations (when, how, by whom); inverter air filter replacement schedule; system isolation procedure (e.g., before any roof work or emergency); recommended contacts for emergency support.

Annual Generation Report Template

Format for the annual generation report we deliver at year-end: kWh generated by month; comparison vs forecast; performance ratio trend; weather-adjusted analysis; recommended actions; supplier-audit support data (Scope 2 reduction in tonnes CO2). Year 1 report delivered approximately 13 months after commissioning. Annual cycle continues for the system life.

Insurance Declaration Letter

A standard letter for your insurer declaring the new PV system on the property. Includes: system value (for buildings insurance update); system specification; commissioning date; warranty position. Provided as a Word document for easy customisation if your insurer requires specific wording.

Tax Documentation for 100% AIA Claim

For incorporated farms claiming 100% Annual Investment Allowance: invoice itemised by claimable plant and machinery; categorisation guidance for your accountant; HMRC reference to capital-allowances regulations; depreciation policy recommendation (typical 5% straight-line for accounting purposes despite 100% tax write-down). Talk to your accountant about specific treatment for your business structure.

Why this pack matters

The handover pack is your evidence base for the next 25+ years. Without proper documentation: warranty claims become difficult to evidence; supplier audits become harder to support; tax returns risk HMRC challenge; insurance position is ambiguous; future system modifications or extensions become harder to specify. We maintain digital copies of every pack indefinitely β€” if you lose the physical copy, contact us and we'll provide a replacement.

How we present the pack

We deliver the documentation pack as: physical printed bound document handed over at commissioning; digital PDF copy emailed to nominated email; cloud storage link with all source documents (DWG drawings, CAD files, original certificates as PDFs); USB stick (optional, by request) with everything as backup. Most clients reference the digital copies regularly; the physical bound copy lives in the farm office for emergency reference.
